Every part of a shoot day can be redone except one. A weak angle, we shoot again. Rain comes in, we reschedule and nobody loses anything. But a memory card that quits on the drive home takes the entire day with it, and there is no amount of skill that gets those frames back.
So this one is about the least interesting hour of the job — how files get from the camera to a place where two copies of them exist. Nobody hires a car photographer Philippines-side because of their backup routine. It is still the part that decides whether the shoot exists at all.
Cards get formatted the night before, in the camera
My cards are formatted the evening before a booking, in the body that will use them, and only after I have confirmed the previous job is fully delivered and archived. Never on the laptop, never at the location.
Formatting in camera builds the file structure that body expects. Formatting on a computer, or just deleting files to make room, leaves the card in a state the camera has to work around. It usually works. Usually is not a standard I want applied to somebody's build feature.
The rule that goes with it: a card is not formatted because I need space. It is formatted because the last shoot is done and backed up. If I ever find myself formatting a card in a parking lot in Cavite because I ran out of room, something upstream already went wrong.
Two cards, and the full one moves pockets
The X-S20 takes one SD card at a time, so redundancy here comes from rotation rather than dual slots. I carry a second card, and when the first one fills — or when the shoot moves to a new phase, say the static walk-round is finished and we are heading out for rolling frames — I swap.
The full card goes into a different pocket from the empty ones. Same pocket, always, every shoot. That way I never have to think about which card has the morning on it, and I never hand myself the wrong one in a hurry. Small habit, costs nothing, removes an entire category of mistake.
Same logic on the Osmo Pocket 3, which runs microSD. Two cards, one active, one spare, and D-Log M files are large enough that on a full-day event the spare is not optional.
Capacity math happens before the shoot, not during
Rough numbers I plan around: an owner feature runs a few hundred raw frames, a full event day runs considerably more, and video eats space at a rate stills never will. I would rather carry more card than I need than start deleting frames in the field to buy room — deleting in the field is exactly how you delete the wrong thing.
Batteries follow the same logic. Spares charged the night before, not the morning of.
Nothing gets deleted until two copies exist
At home, the card goes into the reader and the whole folder gets copied twice: once to the working drive I edit from, once to a separate archive drive. Not two folders on the same disk. Two physical drives. A single drive failing is an ordinary thing that happens to ordinary people.
Only once both copies are verified — meaning I open the folders and check the file count and spot-check a few frames, not just watch a progress bar finish — does the card go back into rotation as available. Until then it stays full, which is a third copy for free.
That third copy is the reason I do not reformat right away. The card sits untouched until the gallery is delivered.
Folder names that still make sense a year later
Date first, then what the shoot was. Year-month-day, then a short description — the vehicle or the event type, and the location. Dates first means the folders sort themselves chronologically with no effort, and the description means I can find a specific job without opening anything.
Inside, raws live in one folder and video in another from the very first copy. Mixing them means every later step — the Lightroom import, the Resolve project, the export — has to filter around files it does not want.
The Lightroom catalog points at the working drive only. The archive drive is never the one I edit from, so nothing I do in post can reach the untouched copy.
Video takes its own path
Pocket 3 clips and anything shot off the RS3 Mini go straight into a Resolve project folder organized by the day. If the booking includes same-day social cuts, this happens first, before any stills work, because the client is waiting on those that evening while the full gallery is on the seven-day window anyway.
D-Log M footage needs its conversion step before it looks like anything, so I never judge a clip by how flat it looks straight off the card. That is a good way to bin usable footage.
Heat, rain, and dust
Two things this climate does to files. Condensation, when kit goes from an airconditioned car into humid outside air — the answer is to let the bag equalize before you open it, not to pop a card door immediately on arrival. And dust and water at outdoor shoots, which is why card swaps happen inside the vehicle rather than out in the open with the slot hanging open.
If a session is genuinely wet, cards stay in until I am somewhere dry. Missing ten minutes is a smaller problem than water in the slot. This applies double to motorcycle photography PH work, where there is usually no cabin to duck into and the whole day is spent standing in whatever the weather is doing.
How long the files stay
Working files stay on the drive while a job is live. The archive copy stays well past delivery, but I tell every client the same thing: download your gallery and keep your own copy of it. My archive is a safety net, not your storage.
Why this is worth a whole post
Because it is the only part of automotive photography Cavite work — or anywhere — where the failure mode is total. Every other mistake on a shoot day gives you a second chance at it.
And none of it needs expensive equipment. Two cards, two drives, one consistent set of habits, and the discipline to not format anything until the job is out the door.
